Duties and Responsibilities
The successful Administrative Clerk will perform a range of administrative and customer-support duties within the Helpdesk and Complaints environment.
Handle Complaints and Enquiries
The successful candidate will follow up on outstanding complaints and respond to enquiries to help ensure that service delivery is maintained.
Provide Meeting Administration
The Administrative Clerk will assist with meeting management duties, including:
- Helping to manage diaries for the unit and managers
- Booking meeting venues
- Taking minutes during meetings
- Distributing meeting minutes to relevant officials
Arrange Official Travel
The successful applicant will assist managers with travel arrangements in line with departmental directives.
The role also includes preparing subsistence and travel claims (S&T) for approval by the relevant sections.
Assist With Procurement
The Administrative Clerk will support the procurement of goods and services required by the sub-directorate.
This will include administrative coordination and maintaining relevant procurement records.
Support Accommodation Services
The successful candidate will liaise with internal executing units regarding accommodation-related services when required.
They will also assist with maintaining records relating to accommodation procurement instructions.
Maintain HR and Administrative Records
The role includes updating and filing record systems relating to the unit’s Human Resources administration.

Assist With Reports
The successful candidate will provide information required for reports prepared for both internal and external clients.
Assist With Archibus Administration
The Administrative Clerk may also be required to assist the regional office with the administration of the Archibus system when needed.
